This new feature allows users to control the visibility of individual orders - ideal for requisitions containing particularly sensitive information.
By default, LabOrders manages visibility through grant-level privileges. Typically, if a user has "View" access to a grant, they can see all associated orders to encourage collaboration within a work unit. However, we recognize that certain situations require more control over privacy.
If this new feature is active in your institution, a user can restrict the visibility of existent requisitions, by following the steps below:
1) Enter the edit requisition form by clicking the Edit requisition... option.
2) Set the desired behavior for the requisition on the new Visibility dropdown.
- Normal: all users with access to the Grant can see the requisition (this is the default behavior for all new requisitions).
Private (Your username): if you select your username the requisition will be visible only to you and to other privileged users (e.g.: approvers and service users). This is what LabOrders calls a Private requisition.
⚠ Note I: You may be able to see more users if someone has made the requisition private to themselves. However, you can only select one user.
⚠ Note II: Please note that selecting your own username and saving the changes will remove the previous user's name from the list of options, and they may no longer have access to that requisition.
3) The new setting is applied once you click Save.
4) Private requisitions can be identified in the Orders list by the eye icon shown below.
Setting the default visibility behavior for a given grant
Additionally, approvers and service users have the option to set the requisitions for a specific grant as private by default. This means that all requisitions linked to that grant will automatically be created as Private.
1) Go to More > Grants. Search for the grant and in the action dropdown arrow, select Edit...
2) In the Requisitions visibility field, choose "Private" as the default setting for all new requisitions created under this grant.
3) Grants with requisition visibility defined as Private will be identified by the eye icon, as shown below.
⚠ Note III: This behavior can be reverted at any time, changing the Requisitions visibility to Normal.
