Depending on your institutions processes, either your users will fill in their timesheets each month on their own (by following the instructions in the article How do I complete and submit my Timesheet for a given month?) or the project management team will support them on this.
Either way, you can always use the steps below to confirm the users entries for a given month.
1) Go to Projects > Timesheet calendar.
2) Select the user from the drop down menu.
⚠ Note: From this point on the interface you see as a Service user is very similar to the one the requester sees when he goes to Projects > Timesheet calendar in their LabOrders account.
3) You will see a calendar view of the current month. You can use the navigation arrows on top of the calendar to change to the required month.
The calendar view will already include weekends and days your institution is closed. The calendar may also include the user planned vacation days or the hours they were teaching during the month, if your institution is using those LabOrders functionalities.
4) To add an entry to the calendar, click on a date. You will be shown the Add entry form.
⭐ Tip: If you select a start and end date LabOrders will automatically jump over the weekends and other non-workable days and fill the entries across the two dates for you.
5) At the bottom of the calendar you will be shown the total hours you have reported for each work package.
⭐ Tip: If you are using LabOrders to manage the execution of your project and you entered the planning information on the previous steps, you will also be shown the planned allocation for the month, as well as the cumulative planned value since the project started.
⭐ Tip: If your institution has opted for this functionality, you will also be able to click the Auto-fill button to pre-fill the entries on the calendar based on the planned information. You can then easily edit the calendar to account for what has happened in reality.
6) If you decide to fill-in this information as a Project manager, the relevant user will be able to confirm and submit the timesheet on their account by clicking the Request approval button on top of the page.
⚠ Note: Normally as a service user you should not click the Request approval button, unless there is a clear reason to do so. The requester user will be the one doing that action on their side.
In fact, in most cases the actions in this Step are done by the users themselves by following the instructions How do I complete and submit my Timesheet for a given month?.
Once a timesheet has been submitted for approval, it enters the specific workflow defined by your institution. You can read more about this on Step 7 - The timesheets approval workflow.
